A. DUTY / INFORMATION RELATED TO JOBS

  •        1) TASK / BRIEF DESCRIPTION OF THE JOB

To ensure that the secretarial services of the Disabled Students Unit are carried out effectively and efficiently.

  • To provide the secretarial services of the Disabled Students Unit (connecting phone, taking notes, arranging appointments, faxing, etc.).
  • To keep track of current work and to ensure the flow of work schedule.
  • To inform the Coordinator and the Vice Rector regarding daily urgent articles in the work flow.
  • To keep track of incoming faxes and e-mails of the Disabled Students Unit and to ensure that incoming faxes and e-mails are recorded
  • To do the internal and external correspondence of the Disabled Student Unit.
  • Following the delivery of the correspondence to the relevant person / persons or institutions and attaching the relevant documents to the relevant file.
  • To keep, archive and preserve the private and institutional files of the Disabled Student Unit.
  • To protect the confidentiality of correspondence.
  • To prepare various papers and documents regarding the Disabled Student Unit.
  • To prepare for the meetings of the committees and commissions affiliated to the Disabled Student Unit and to make announcements to the relevant people.
  • To report various announcements to the relevant units.
  • To ensure that the directives given by the coordinator are conveyed to the relevant persons or units.
  • To prepare and implement the program of the coordinator, taking into account the time and work status of the unit (work-appointment-meeting).
  • Avoiding giving unnecessary information to the other party during phone calls or visits, paying attention to confidentiality.
  • To keep them up-to-date by following the protocol lists and phone books applied in the city.
  • To follow the legislation concerning the activities of the Disabled Student Unit .
  • Checking the devices that may cause danger in the working environment, checking electronic devices such as computers, printers and scanners every day while leaving the unit, paying attention to keeping doors and windows closed.
  • Cleaning, repairing and maintaining the machines and vehicles used by the Disabled Student Unit.
  • Stationery, fixtures, etc. of the Disabled Student Unit. To provide office services.
  • To take care of the cleaning and maintenance of the room of the Disabled Student Unit.
  • To protect and store paperwork, movable and immovable property.

To fulfill the duties assigned by the coordinator in a timely and complete manner, in a way to save material.

  • Fulfilling the assigned duties in a timely, complete, labor, time and material saving manner.
  • The Secretary is responsible to the Coordinator, Vice Rector and Rector for his work and procedures.

B. QUALIFICATIONS TO BE SEEKED FOR APPOINTMENT

1) REQUIRED LEARNING LEVEL AND DEPARTMENT

To be at least an associate degree.

2) REQUIRED VOCATIONAL TRAINING, CERTIFICATION, OTHER TRAININGS

    To be trained in the field and to have "Computer Operator Certificate".  

3) REQUIRED FOREIGN LANGUAGE AND LEVEL

    It is not required.

4) REQUIRED SERVICE TIME

    For those to be appointed by promotion, the provisions of Higher Education Supreme Institutions and Higher Education Institutions Personnel Promotion Regulation are valid.
